Fleet Management Adhoc Committee ~ Variance Review
FROM:
Ryan McNamara, Director of Recreation & Parks
RE:
Variance Request & Review
Fleet asset #P74 is currently in a build mode, awaiting almost a year since production request, through
an active purchase order. The company also services and works with the Ventrac systems. During this
wait period we have discovered additional ways to use the Ventrac system on our ballfield operations.
‘We have discussed replacing our current order with the variance requested below with the vendor and
changes can still be made. In order to fulfill this request, the department would need an additional
$4,040 to make this valuable change.
The additional $4,040 wil be used to support the purchase of a Ventrac utility tractor that will replace
‘our aging SandPro and significantly expand our operational capabilities. While the SandPro serves a
single seasonal purpose, the Ventrac provides year-round functionality through a wide range of
attachments, allowing one machine to perform multiple duties across our fields and facilities. This
investment not only consolidates equipment needs but also reduces long-term replacement costs, as
future updates will primarily involve lower-cost attachment replacements rather than full machine
Purchases. The additional funding ensures we secure a more versatile, durable, and cost-effective
Solution for the department moving forward.
Quoted cost for the Tor SandPro:
$37,450.50
Quoted cost for Ventrac with balifield attachments:
$41,490.08
Cost difference:
4,039.58
Infield Grooming: Ventrac vs SandPro
You already know the SandPro is excellent at one thing: ballfield infield conditioning.
A Ventrac equipped with the Ventrac Renovator / Power Rake / Groomer attachments can match that
performance:
*
Breaks up compacted infield mix
+
Levels and smooths the surface
‘+
Removes lips and transitions
‘*
Handles wet or dry material
‘©
Leaves
a consistent, playable finish
Result: You don’t lose any capability you currently rely on.

Everything the Ventrac can do that the SandPro cannot
This is where the value really shows up. A SandPro is a single-season, single-purpose machine. A Ventrac
isa year-round, multi-attachment platform that can replace multiple pieces of equipment.

Year-Round Utilization = Better Budget Justification
ASandPro sits idle for most of the year.
‘AVentrac works 12 months, which means:
©
Higher return on investment
*
Less fleet maintenance
‘+
Fewer engines to service
*
One operator can do more jobs
‘*
Easier training and standar
tion
This is often the deci
i factor for municipalities, schools, and parks departments,
Operator Experience & Practical Advantages
‘©
Articulating frame gives tight turning and minimal turf damage
+
Front-mounted attachments improve visibility and precision
+
Quick-attach system means switching tools in under a minute
+
Allewheel drive handles wet fields, slopes, and winter conditions
*
Commercial durability for daily use
ur team will be able to do more work with fewer machines and less downtime.
Our goal is to replace the SandPro AND expand maintenance capabilities, the Ventrac is the right
preferred choice.
‘*
It matches the SandPro’s infield performance
*
Itadds dozens of new functions
*
It becomes a year-round workhorse instead of a seasonal too!
We are not just investing in a groomer—we're buying
a multi-purpose grounds management system.
| appreciate your time and review of this request.
