TOWN OF WATERFORD
CAPITAL PROJECT REQUEST FORM
2025-2026 FISCAL YEAR REQUEST
DEPARTMENT/AGENCY CONTACT PERSON
IT DEPARTMENT JEFFREY ROBILLARD
PROJECT NAME DEPARTMENT PRIORITY
SERVER UPGRADE REPLACEMENT 1
DESCRIPTION AND JUSTIFICATION (describe the type, purpose & anticipated accomplishments of the project)
The request is for three servers to replace the three current aging hosts that provide the on premise virtual server
infrastructure for the town. It is vital that all the hosts have identical hardware and versioning to ensuring the virtual
servers can migrate from one host to another without compatibility issues, and thus they need to be replaced all at the
same time. These hosts will provide the backbone of our virtual infrastructure for another 6 years. This project
includes the cost of installation/migration and current Microsoft Windows Data Center Server software licensing.
PROJECT STATUS IF IN PROGRESS
LIST OTHER PROJECTS WITHIN YOUR DEPARTMENT OR ANOTHER DEPARTMENT THAT WILL BE IMPACTED BY THIS
REQUEST
DESCRIBE THE IMPACT ON DEPARTMENT OPERATING BUDGET (include cost estimate if applicable)
The new hosts have half the number of CPU cores as our current system. The reduction was calculated against current
workloads to reduce the cost of our yearly VMWare licensing based on CPU cores. We expect this to reduce VMWare
licensing by almost half in future years, a potential reduction of roughly $6000 for FY27.
GRANT FUNDING/OTHER FUNDING, if applicable (detailed explanation of grant/other funding, including the amount,
source of funding, status, town match, if any. Attach award letter if available)
